What to put on a quotation for cleaning services

A cleaning quote has two jobs: tell the client exactly what they get for the price, and protect you when the job is not what was described. These are the items to include:

  • Your business details: name, phone, email, website, and any license, registration or insurance details you hold.
  • Quote number, date and validity: a quote valid for 30 days, for example, stops a client from accepting an old price a year later.
  • Client and property: name, service address, type of property, size, bedrooms, bathrooms, floors and pets.
  • Line items: first clean, recurring clean with its frequency, and add-ons, each with its own price.
  • Scope included and not included: the list of tasks you will do, and what costs extra (inside the oven, interior windows, laundry).
  • Schedule and access: preferred day, arrival window, keys, codes, alarm and parking.
  • Supplies: whether you bring products and equipment or use the client's.
  • Tax: sales tax, VAT or GST if your business has to charge it where you work. Check the rules with your accountant.
  • Payment terms: when payment is due and how the client can pay.
  • Cancellation, lockout and satisfaction policy: notice needed to reschedule, what happens if you cannot get in, and how you handle a missed spot.
  • Acceptance: a line for the client's name, signature and date, or a reply by email that you keep.

Notice what the example does: the first clean is priced on its own, each price is tied to a clear scope, and the policies are on the quote, not in an email the client will never find again.

How to write and send a cleaning quote

  1. Collect the facts before you price

    Ask for the size, rooms, pets and condition. Photos, a video call or a short walkthrough avoid the surprises that turn a profitable job into a loss.

  2. Price from your costs

    Estimate the hours, apply your labor cost and margin, and price the first clean separately. The cleaning price calculator does the math.

  3. Fill in the template

    Business and client details, line items, scope, terms. Keep the wording short and specific.

  4. Send it the same day

    Email the PDF or a link, with one clear next step: "Reply yes and I will book your first clean for Thursday."

  5. Follow up once

    If you have no answer after two or three days, send a short reminder. Many quotes are lost to silence, not to price.

Common cleaning quote mistakes

  • A price without a scope. "House cleaning: $150" invites disputes. List the rooms and tasks.
  • Pricing the first clean like a recurring one. The first visit almost always takes longer.
  • No validity date. Your costs change; your old quotes should expire.
  • No lockout or cancellation rule. A wasted trip costs you the whole visit.
  • Quoting by phone without writing it down. If it is not on the quote, the client remembers it differently.

What is the difference between a cleaning quote and a cleaning estimate?

People often use the words interchangeably. In practice, an estimate is an approximate price that can change, while a quote is a fixed price for a defined scope, valid for a set period. Say on the document which one it is.

How long should a cleaning quote be valid?

Choose a period that protects you from cost changes, such as 30 days, and write it on the quote. After that, you can confirm the price or send a new quote.

Should I include tax on a cleaning quote?

If your business must charge sales tax, VAT or GST where you operate, show it as a separate line. The rules depend on your country, state or province and your registration: check with your accountant.
